Rentmatic LLC knows that you care how information about you is used and shared, and we appreciate your trust that we will do so carefully and sensibly. This notice describes our privacy policy. By visiting our site at www.rentmatic.com, you are accepting the practices described in this Privacy Policy.
Your Privacy is Important to Us. At Rentmatic, your privacy is our chief concern. We understand that you entrust us with your private information to help us match you with a new rental property or real estate professional who can meet your needs. In exchange for your trust, you expect and deserve our commitment to treat your information with respect. Rest assured that we protect your privacy. Under no circumstances will Rentmatic sell or share any personal information about you to or with any person or organization except as authorized by you, to participating property owners and/or managers ("Owners") or other parties involved in your transaction, or as may be required by law or court order. The Privacy Policy below describes the standards we adhere to in handling information about you and rental application.
1. Who We Are. Rentmatic is an online property management application that streamlines rental applications, leasing and rent payments. Rentmatic uses internet based technology to simplify and organize the landlord-tenant relationship.
2. Information We Collect. There are several areas on a Rentmatic site where you may be asked to enter both personal and non-personal information. We DO NOT sell or share any personal information about you to or with any person or organization except as authorized by you, to Owners or other parties involved in your transactions, or as may be required by law or court order. Some of the information you supply to us may be optional. If you supply this information, it will not be sold or shared to or with any person or organization except as authorized by you, to Owners or other parties involved in your transactions, or as may be required by law or court order.
- Information we receive from landlords or property management companies about buildings and rental units. In order for Rentmatic to begin to help manage a building, relevant building and unit information will need to be collected. This includes, but is not limited to, building addresses, descriptions, unit numbers, unit rental amounts, security deposit amounts, included utilities, unit floor types, parking options, and late fee amounts.
- Information we receive from landlords or property management companies about tenants. Rentmatic enables landlords or property management companies to enter tenant information such as tenant names, addresses, phone numbers, e-mail addresses, rent portions, security deposits paid, move-in dates, move-out dates, leases, tenant house rules, and notes about the tenant, as well as any other information that a landlord or property management company may want to provide or upload.
- Information we receive from tenants on application forms. When tenants come to Rentmatic to complete an application they'll need to provide personal and financial information such as your name, phone number, Social Security Number, e-mail address, income and other financial information.
- Information we receive from automatic processes, such as automated ACH rent payments. Rentmatic's core functionality is to automate various property management functions. In doing so, information is generated about the automated function and also from the response. An example of this would be an automated rent payment, in which Rentmatic collects information about the automated payment, such as the time, bank account used, and amount. Rentmatic would then also collect information on the status of the payment; such a NSF returned payments or cleared payments.
- Technical information we collect. In order for us to ensure that we are providing the best possible experience on the Rentmatic Web site, we collect and track certain user information. When you visit the Rentmatic Web site, our Web server sends a cookie to your computer. This cookie merely stores a limited amount of information about your site visit. The cookie merely tracks aggregate information on how our site is being used, including session counts, navigation patterns, pages visited, etc. These cookies, however, do not store any personally identifiable information such as your name, email address, phone number, etc. as you browse the site. These cookies cannot be related to you as an individual unless you join Rentmatic. When you join Rentmatic, we store your cookie identification in our system. If you request that we remember you, we use this cookie to allow our site to recognize you when you return. The Help portion of the toolbar on most browsers will tell you how to prevent your browser from accepting new cookies, how to have the browser notify you when you receive a new cookie, or how to disable cookies altogether. However, cookies allow you to take full advantage of some of Rentmatic's features, and we recommend that you leave them turned on.
- Rentmatic also utilizes Web Logs to track aggregate information about how our site is being used. Web Logs track anonymous user information, including the number of visitors to our site, operating systems, Internet Provider addresses (if publicly available), and browser type. Unlike cookies, Web Logs are maintained only on Rentmatic servers and do not store or place anything on the user's computer.
- If you come to the Rentmatic web site from an online banner ad, an anonymous identification number may be passed to our site. This information cannot be used to gather any personally identifiable information about you. It will only allow us to track the overall effectiveness of our online advertising campaigns.
- Information from surveys. You may complete a survey from Rentmatic online. Participation in surveys is completely voluntary and it is your choice whether or not you wish to disclose your personal information to us. Every survey presented to you will include specific instructions regarding how your information may be shared. By clicking the "Submit" button at the end of the survey, you authorize Rentmatic to share your data in the manner outlined on the survey.
- Information from the "Contact Us" section of a Rentmatic Web site. You may contact Rentmatic through the "Contact Us" feature. Participation in this area is completely voluntary and it is your choice whether or not you wish to disclose your personal information to us. Moreover, to help us make e-mails more useful and interesting, we often receive a confirmation when you open e-mail from rentmatic.com if your computer supports such capabilities. If you do not want to receive e-mail or other mail from us, please adjust your account preferences.
3. How your information is used. We use the information provided by landlords, property managers, or tenants to streamline property management and simplify owner-tenant relationships. When authorized, tenant information, such as rental applications, will be shared with landlords or property managers. We may also send your information to other third parties relevant to your transactions.
- Tenants may share information with landlords or property managers. At the tenants direction (when a rental application is submitted), the information provided on the application will be sent through the Rentmatic system and presented to the landlord or property manager of the building(s) in which the tenant is interested and, possibly, other parties relevant to the building(s). As landlords or property managers may keep and use tenant information whether or not the tenant rents from them, we recommend that tenants contact the landlords or property management companies directly for more information about their specific privacy policies. In such situations, Rentmatic will be acting on behalf of the landlord or property manager, under the authority of the landlord or property manager's privacy policy (if any), a copy of which you may receive from the landlord or property manager. All of the information-sharing we do as agent for the landlord or property manager would be permissible under applicable federal law for the landlord or property manager to do directly.
- From time to time, Rentmatic may notify you about a Rentmatic special offer. At your request, Rentmatic will not send you any information or offers. If you do not wish to receive any of these offers, please contact us and request to be removed from our special offer mailing list.
- From time to time, Rentmatic may notify you about a special offer from one of our promotional partners. At your request, Rentmatic will not send you any information or offers. If you do not wish to receive any of these offers, please contact us and request to be removed from our mailing list.
- Sharing information with third parties. Rentmatic uses various third party processors for financial transactions. Your financial information may be transferred to these third party processors, but will remain confidential and will not be used for any means other than to execute the financial transaction.
- Sharing information in business transfers. As we continue to develop our business, we might sell or buy stores, subsidiaries, or business units. In such transactions, customer information generally is one of the transferred business assets but remains subject to the promises made in any pre-existing Privacy Policy (unless, of course, the customer consents otherwise). Also, in the unlikely event that Rentmatic or substantially all of its assets are acquired, customer information will of course be one of the transferred assets.
- Sharing information for the protection of Rentmatic and Others. We release account and other personal information when we believe release is appropriate to comply with the law, enforce or apply our Conditions of Use and other agreements, and/or protect the rights, property, or safety of Rentmatic, our users, or others. This includes exchanging information with other companies and organizations for fraud protection and credit risk reduction. Obviously, however, this does not include selling, renting, sharing, or otherwise disclosing personally identifiable information from customers for commercial purposes in violation of the commitments set forth in this Privacy Policy.
- Sharing information with your consent. Other than as set out above, you will receive notice when information about you might go to third parties, and you will have an opportunity to choose not to share the information.
4. Altering Information You Submit Through a Rentmatic Web Site. Rentmatic puts you in control of your information. You'll find our site easy to navigate to find all the information you need to control the information that you have provided.
- Changing your information. You may be able to review and change all information stored within Rentmatic, unless processes or functions restrict the altering of data through Rentmatic online. If you are unable to complete this online, you may click here to contact us for assistance.
- Deleting your information. Federal and state regulations may require that we store completed applications for various periods of time. In order to comply with these regulations, we cannot delete information from our databases.
- Request to stop receiving emails from us. Periodically, Rentmatic may send you emails to alert you to special offers. If you do not wish to receive any of these offers, please contact us and request that we remove you from our mailing list.
- Security. Rentmatic sites have security measures in place to protect the loss, misuse and alteration of the information under our control. We work to protect the security of your information during transmission by using Secure Sockets Layer (SSL) software, which encrypts information you input. We reveal only the last four digits of your credit card numbers or the last four digits of your bank account number when confirming a transaction. Of course, we transmit the entire credit card number or bank account number to the appropriate processing company during the transaction processing. It is important for you to protect against unauthorized access to your password and to your computer. Be sure to sign off when finished using a shared computer.
5. Children. Rentmatic does not sell services for purchase by children. If you are under 18, you may use Rentmatic's services only with the involvement of a parent or guardian.
6. Conditions of Use, Notices, and Revisions. If you choose to visit the Rentmatic site, your visit and any dispute over privacy is subject to this Privacy Policy and our Conditions of Use, including limitations on damages, arbitration of disputes, and application of the law of the state of Delaware. If you have any concern about privacy at Rentmatic, please contact us with a thorough description, and we will try to resolve it. Our business changes constantly, and our Privacy Policy and the Conditions of Use will change also. We may e-mail periodic reminders of our notices and conditions, unless you have instructed us not to, but you should check our Web site frequently to see recent changes. If we make a change to our Privacy Policy in the future that will affect how we treat your information, we will notify you of the change. In that case, your ability to opt out of the new policy will be determined by applicable laws and we will include that information in our notification. If the change impacts how we use your information, we will notify you even if you have requested that we not contact you. Unless stated otherwise, our current Privacy Policy applies to all information that we have about you and your account. We stand behind the promises we make, however, and will never materially change our policies and practices to make them less protective of customer information collected in the past without the consent of affected customers.
